Choose a bookkeeping service when your business needs reliable recurring work but not a full-time person on staff; consider an in-house bookkeeper when the workload is steady and frequent coordination or immediate access matters. The right choice depends on the work involved, service scope, total cost, complexity and coverage—not a universal revenue or transaction threshold. In either arrangement, your business remains responsible for keeping records that support its income and deductions.
Compare the work and the full cost
Start by listing what needs to happen each month and how often. Then compare the complete recurring fee for a service with the full cost of employing someone. A salary alone is not an apples-to-apples comparison: include payroll costs, benefits, recruiting, software, management time and coverage when estimating employee cost.
There is no reliable, universal price range that settles this comparison. Fees and employment costs depend on scope, location, transaction volume, cleanup needs, payroll and reporting complexity. Request itemized service proposals and calculate your own loaded employment cost rather than relying on a single headline price.

Check that the scope matches your needs
Write down which tasks must be handled and confirm who owns each one. The U.S. Small Business Administration (SBA) identifies receivables, payables, available cash, bank reconciliation and payroll as functions to ensure are managed. Depending on your business, also clarify responsibility for cash monitoring, reporting, cleanup and coordination with your tax preparer. The SBA’s small-business guidance discusses accounting help and these core tasks.
#1 Best Overall
- Ask a service what is included in its recurring fee and what triggers a separate charge.
- For an employee, define duties, review responsibilities and backup coverage.
- For either option, agree on the close schedule, handoffs, correction process, system permissions and how you will export your data if the arrangement ends.
Decide how much access and continuity you need
A service may suit scheduled, remote workflows
An outside service can work well when tasks follow a predictable schedule and agreed response times are sufficient. Ask who will do the work, who covers absences, how questions are handled and whether you will have access to the books throughout the engagement. A service may have a team, but do not assume it does: verify the actual coverage arrangement.
An employee may suit frequent coordination
An in-house bookkeeper can be a better fit when you need regular on-site collaboration, rapid answers or close coordination with staff handling invoices, purchases or operations. Proximity does not guarantee continuity, though: if one person holds the process, establish documentation and backup coverage for absences or turnover.

Keep responsibility for business records
Hiring someone or engaging a service transfers tasks, not the business’s responsibility to substantiate its tax return. The IRS says a business may use a recordkeeping system suited to it as long as it clearly shows income and expenses. Keep supporting documents for purchases, sales, payroll and other transactions, and retain records as long as needed to prove income or deductions reported on a return. Electronic records must be complete, accurate and accessible to the IRS. See the IRS guidance on recordkeeping and recording business transactions.
You can use journals and ledgers to summarize transactions, or use electronic accounting records; a paper ledger is optional, not a requirement. Whichever system you choose, retain the underlying documents and make sure you can review and export the records.

Do not assume an outside worker is a contractor
If you engage an individual directly, do not decide worker status just from the contract label or the fact that work is remote. IRS Publication 334 (2025) says classification depends on the facts and circumstances, including whether the payer has the right to control or direct only the result, rather than how the work is done. Check current federal and state rules for the specific engagement; the IRS explains the federal factors in Publication 334.
Use this decision checklist
- Estimate the workload: List recurring tasks, frequency, transaction volume and any cleanup or reporting requirements.
- Set the access standard: Decide whether scheduled remote communication works or whether frequent, immediate, on-site coordination is important.
- Compare like-for-like scope: Ask service providers for itemized proposals and identify which tasks are excluded or billed separately.
- Calculate total employment cost: Include salary, payroll costs, benefits, recruiting, software, management time and coverage.
- Test continuity and control: Confirm backup coverage, owner access to the books, permissions, close dates, correction handling and data export.
- Match expertise to the work: Account for entities, inventory and specialized reporting, and arrange CPA advice separately if the work calls for it.
- Review the records and classification obligations: Keep supporting documents and verify worker classification under the rules that apply to your arrangement.
No universal employee-count, revenue or transaction threshold determines when a service should become an in-house hire. If the workload is defined and manageable through agreed turnaround times, compare service proposals against the full employee cost. If work is sustained and coordination-intensive, evaluate an employee while planning for management and backup coverage.
