For most U.S. freelancers and very small businesses, Zoho Books Free is the best overall free accounting software. It combines double-entry accounting, invoicing, expenses, reconciliation, financial reports, recurring invoices, and accountant access at $0—provided the business stays under the U.S. plan’s $50,000 annual-revenue limit and other usage caps.
The best alternative depends on your workflow: choose Wave Starter for simple invoicing, ZipBooks Starter if one automatic bank connection matters, Manager Desktop for complete offline accounting, or GnuCash for open-source local bookkeeping. These are permanent free options, not 14- or 30-day trials. This guide focuses primarily on U.S. plans and pricing checked on August 9, 2026; features, taxes, currencies, payment processing, and availability can vary by country.
“Free accounting software” does not mean the same thing in every product. It may mean a permanent $0 cloud plan with limits, a desktop application that you install and maintain yourself, or open-source software that is free but requires your own computer and backups. A self-hosted product may have no license fee while still requiring paid web hosting and technical maintenance.

“Best” in this list is an editorial judgment based on free-plan usefulness, accounting depth, invoicing, banking workflow, ease of use, data portability, support, and upgrade path—not an objective industry rating.
What counts as free accounting software?
There are four categories worth separating before you choose:
- Permanent free cloud plans: Zoho Books, Wave, and ZipBooks let you use an online account without a recurring software subscription, although limits, payment fees, or paid add-ons apply.
- Free local desktop software: Manager Desktop and GnuCash run on your computer. You avoid a subscription, but you become responsible for backups, access, updates, and sharing the data with an accountant.
- Free self-hosted software: Akaunting On-Premise can be installed on your own server. The software license is free, but hosting, databases, security, backups, and administration are not automatically free.
- Free trials: A 14-day or 30-day trial is not a free accounting plan. Products such as QuickBooks Online and FreshBooks should not be presented as free software merely because they offer trial access.
This distinction follows the approach used by NerdWallet’s 2026 methodology, which excludes expiring trials and temporary discounts from its free-software comparison.
1. Zoho Books Free: best overall
Best for: Freelancers, consultants, agencies, contractors, and sole proprietors who want a real cloud accounting system without a monthly subscription.
Zoho Books Free has the strongest combination of formal accounting and practical small-business features in this group. It includes double-entry accounting, invoices, estimates, expenses, vendors, journals, sales receipts, recurring invoices, payment reminders, online payments, customer portals, bank reconciliation, and profit-and-loss and balance-sheet reporting. It also supports accountant access, making it more useful than many free invoicing tools when another person needs to review the books.
What the U.S. free plan includes
According to the Zoho Books U.S. pricing page, the free plan costs $0 per organization per month and is intended for a business with annual revenue of no more than $50,000. It permits one user plus one accountant, up to 1,000 invoices per year, and up to 1,000 bills and expenses per year. That invoice limit works out to roughly 83 invoices per month if spread evenly across a year.
The plan also lists 50 receipt autoscans per month for free and trial users, up to five scheduled reports, and email support. Its feature list includes mileage, W-9 management, 1099 contractor tracking, customer portals, payment reminders, and recurring invoices. A 1099-related feature is not the same as complete federal, state, or local tax filing.

Zoho Books Free includes bank reconciliation, but that does not mean it includes automatic bank synchronization. The current U.S. plan comparison places connected bank feeds in the paid Standard plan, and NerdWallet’s review likewise identifies automatic bank imports as a paid feature.
A free user should therefore expect to enter transactions manually or import bank and card statements, then reconcile the records against the statement. Reconciliation is the checking process; a bank feed is the automatic delivery of transactions. They are related but not interchangeable.
Who should choose it?
Choose Zoho Books Free if you want formal financial statements, recurring invoices, payment reminders, an accountant review, and a credible upgrade path. It is especially convenient if you already use Zoho CRM, Zoho Invoice, Zoho Expense, or another Zoho product.
It is a poor fit for a business that exceeds $50,000 in annual revenue, sends more than 1,000 invoices or records more than 1,000 bills and expenses annually, needs automatic bank feeds at no cost, requires several operating users, or depends heavily on inventory, purchasing, advanced sales-tax workflows, or complex automation.
Upgrade path
Zoho’s U.S. Standard plan is listed at $20 per month or $15 per month when billed annually. Higher plans add features such as purchasing, inventory, multi-currency, forecasting, workflows, and advanced reporting. Check the current pricing page before subscribing because prices and limits can change.
Basic setup path
- Create a Zoho Books organization and complete the free-plan eligibility setup.
- Set the fiscal year and review the chart of accounts.
- Add customers and vendors.
- Create invoices, recurring invoices, expenses, and journals as needed.
- Import bank or card statements if automatic feeds are not available on the free plan.
- Reconcile accounts and run the profit-and-loss and balance-sheet reports.
- Monitor the annual invoice and bill/expense counters so a limit does not surprise you.
The Zoho Books getting-started guide covers the organization setup workflow.
2. Wave Starter: best for simple invoicing
Best for: Freelancers, consultants, contractors, and straightforward service businesses that primarily need professional invoices and basic books.
Wave remains one of the easiest free options for a solo operator. Its Starter plan is listed at $0 and includes unlimited estimates, invoices, bills, and bookkeeping records, along with mobile invoicing and a basic cash-flow and customer dashboard. That makes it attractive for a business that sends many invoices but has uncomplicated expenses.

- PROFESSIONAL FINANCIAL CALCULATOR : Built-in TVM, IRR, NPV. Engineered for business analysts, real estate investors, accountants, and finance students.
- ADVANCED CASH FLOW & AMORTIZATION : Execute time value of money, break-even analysis, depreciation schedules, and bond pricing. Trusted for professional exam prep", MBA coursework, and banking certifications.
- CATIGA CF-300 : Flip-open hard case with a snap-close design for a secure fit. Compact and portable: designed for daily professional use in office, classroom, or on-site.
- ALL-IN-ONE FOR PROFESSIONALS : From NPV/IRR for real estate analysis to statistical calculations for business analysts. Handles probability, linear regression, and complex financial formulas.
- MORTGAGE, LOAN & INVESTMENT CALCULATOR : Covers bond pricing, loan amortization, investment analysis, and exam-level computations. Your go-to accounting calculator, business calculator, and real estate calculator in one device.
What is free—and what is not?
Wave’s current pricing page lists optional online payment processing rather than a blanket free payment service. The listed U.S. credit-card processing rates are 2.9% plus $0.60 per Visa, Mastercard, or Discover transaction and 3.4% plus $0.60 per American Express transaction. ACH bank payments are listed at 1% per transaction with a $1 minimum. Rates and eligibility should be checked before relying on them.
Payroll is an additional paid service. Receipt capture and other automation are not included in the basic free plan.
Automatic bank imports are paid
Older articles often describe Wave as including free bank feeds. That is no longer an accurate description of the current Starter plan. Wave says automatic bank transaction imports, auto-merging, categorization, and receipt features belong to Pro. Free users can enter transactions manually or upload bank statements. The Wave accounting help page explains the statement-upload and manual-entry fallback.
Bank connectivity also depends on whether Wave supports the particular financial institution; no bank connection should be assumed to work with every bank.
Who should choose it?
Wave Starter is a good choice when the central job is creating invoices, recording ordinary income and expenses, and monitoring cash flow. Its unlimited invoice and bookkeeping-record allowance is more forgiving than Zoho Books’ annual invoice cap.
Choose something else if free automatic bank feeds are essential, if you need detailed inventory, multiple accounting users, sophisticated accounts payable, purchase orders, project accounting, or advanced transaction automation.
Upgrade path
Wave Pro is listed at $19 per month or $190 per year in U.S. pricing. Wave also lists receipt capture and payroll as additional services. Some prices or offers may be promotional or limited to new subscriptions, so confirm them on the pricing page.
3. ZipBooks Starter: best if one free bank connection matters
Best for: A freelancer or small service business with one primary operating bank account that wants automatic transaction imports without paying a monthly subscription.
Free tools Windows power users keep installed
One-click scans. No signup required.
ZipBooks Starter’s defining advantage is that it includes one connected bank account. The current plan is listed as free and includes unlimited invoices, unlimited customers and vendors, basic reports, and digital payments through Square or PayPal. For a one-bank workflow, that can be more useful than a product with a longer free feature list but no bank connection.
Free-plan limits
The free Starter plan is intentionally basic. The broader paid-tier automation includes multiple bank connections, recurring invoices with auto-billing, automated reminders, time tracking, team members, advanced reports, advanced reconciliation and book-locking, and advanced tagging or intelligence features. See the ZipBooks pricing comparison for the current tier boundaries.
If a bank connection fails, ZipBooks documents importing transactions from statements or another accounting program as an alternative. Its bank-reconciliation guidance explains the related workflow.
Who should choose it?
ZipBooks Starter is a strong fit for a solo operator with one bank account, simple invoices, and modest reporting needs. It is not the best free choice for a company with several bank and credit-card accounts, a team, recurring automated billing, time-based project billing, or advanced reconciliation requirements.
Upgrade path
ZipBooks lists Smarter at $15 per month and Sophisticated at $35 per month. Those tiers add features such as recurring invoices, multiple bank connections, time tracking, team access, advanced reporting, reconciliation, and tagging. Confirm current prices and feature availability at signup.
4. Manager Desktop: best free offline accounting software
Best for: A sole proprietor or small business that wants full accounting functionality on one computer, works offline, and prefers local data over a hosted subscription.
Manager Desktop is unusually generous for proprietary accounting software. The official download page describes it as fully featured, free forever, usable without an internet connection, and free of time limits, usage limits, and advertisements. It supports formal accounting workflows rather than merely acting as an invoice generator.

Current desktop requirements
Manager’s current download page lists Windows 10 version 1709, 64-bit, or newer; macOS 12 or newer on Apple Silicon, with an alternative Intel-Mac download; and Linux support for Ubuntu 20.04 64-bit, Fedora 38 64-bit, or newer. Confirm the requirement for your operating system before installation.
What you receive for $0
- Unlimited data and unlimited duration
- No advertisements
- Offline use
- Desktop accounting workflows
- Backups and transfers between operating systems
Manager says its data is cross-compatible across operating systems and can be backed up and restored on another computer. That portability is valuable, but it does not remove the need for a disciplined backup routine.
The major trade-off: local and single-user
Manager Desktop is designed for single-user local use. Multi-user access, remote access, automatic backups, automatic updates, and browser-based access belong to the paid cloud edition. Manager’s current cloud page lists Cloud Edition at $59 per month, with unlimited users and businesses.
Manager Desktop therefore works well when the owner does the bookkeeping on one computer. It is less suitable when a remote accountant, bookkeeper, or business partner needs to log in simultaneously. It also does not provide native free online payment acceptance, and its interface may feel less modern than a browser-based application.
Basic setup path
- Confirm the operating-system requirements.
- Download and install Manager Desktop.
- Create a business and activate only the modules you need.
- Review the chart of accounts and enter opening balances carefully.
- Configure customers, suppliers, invoices, inventory, and reports as required.
- Create regular backups and keep at least one copy outside the computer.
- Test restoring a backup on another computer before the data becomes business-critical.
Manager’s guides explain the available modules and workflows.

Best for: Users who value open-source software, local data ownership, formal double-entry bookkeeping, and long-term access to an accounting file more than a guided cloud experience.
GnuCash is a genuine accounting application, not a simplified spreadsheet substitute. It supports double-entry bookkeeping, account reconciliation, financial reports, customers, vendors, jobs, invoices, bills, bill payment, tax and billing terms, aging reports, and business reporting. Its strength is accounting depth and control; its weakness is the amount of accounting knowledge and setup it expects from the user.
Current version and platforms
The official site lists GnuCash 5.16 as the latest stable release, dated June 28, 2026. The download page lists installers for Windows 8/10/11, macOS Apple Silicon on Big Sur 11 or newer, and macOS Intel on High Sierra 10.13 or newer. Linux users normally install it through their distribution’s package system or Flatpak.
Business features
GnuCash documents accounts receivable, accounts payable, customers, vendors, invoices, bills, jobs, customer and vendor aging, sales-tax tables, billing terms, business reports, reconciliation, and CSV import for bills and invoices. It can handle a serious local ledger, but it is not a modern hosted workspace with built-in online payment processing, ordinary team collaboration, or a mobile-first dashboard.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
For example, its documented customer and vendor paths include Business → Customer → Customers Overview and Business → Vendor → Vendors Overview. The GnuCash business manual covers the associated workflows.
Who should choose it?
GnuCash is a good choice for Linux users, privacy-conscious businesses, technically comfortable owners, and anyone willing to learn accounting concepts. It is a poor fit for a non-accountant who wants cloud setup guidance, automatic bank-feed automation, live vendor support, payroll-tax filing, sales-tax filing, or simultaneous online access.
Do not describe GnuCash as beginner-friendly without qualification. It is free and capable, but the learning curve is part of the cost.
Side-by-side comparison
The table below compares the workflows, not just whether a product has a feature somewhere in its ecosystem. “Bank connection” means an automatic feed where specifically stated; statement import and reconciliation are separate capabilities.

Which one should you choose?
For a freelancer or consultant
Start with Wave if invoicing simplicity matters most, Zoho Books if you want stronger formal accounting and recurring invoices, or ZipBooks if you want one automatic bank connection. The deciding question is whether manual statement imports are acceptable.
For a sole proprietor who wants formal books
Choose Zoho Books Free for cloud access and accountant collaboration, or Manager Desktop for local offline work. Both support more than basic invoice tracking, but they make different trade-offs around access and backups.
Rank #4
- Sold as 1 Each.
- Ideal for students and professionals. Over 100 built-in functions including probability distributions.
- Intuitive keyboard layout with minimal keystrokes required for many common functions.
- Easy-to-read display with adjustable contrast and on-screen labels.
- Permitted for use on SAT, PSAT/NMSQT and College Board AP tests.
If you need one automatic bank feed
Start with ZipBooks Starter. It includes one connected bank account, whereas Wave Starter and Zoho Books Free currently require paid plans for automatic bank imports. If you have several bank or card accounts, the free advantage disappears quickly.
For offline or privacy-focused bookkeeping
Choose Manager Desktop if you want a more conventional small-business accounting package and a simpler path to a paid cloud edition. Choose GnuCash if open-source software, local ownership, and accounting depth matter more than convenience.
Free tools Windows power users keep installed
One-click scans. No signup required.
For Linux
Start with GnuCash for the most established open-source local accounting workflow, or Manager Desktop if its current Linux requirements and interface better match your needs.
For a technical user who wants self-hosting
Consider Akaunting On-Premise, but do not confuse it with free hosted cloud accounting. You will administer the server, database, backups, updates, and security yourself.
For employees, inventory, or point-of-sale sales
Free software may still record the books, but it may not be enough as the primary business system. Payroll introduces withholding and filing obligations. Inventory requires quantities, costs, valuation, purchases, returns, and adjustments. POS businesses often need real-time sales, payment, inventory, and sales-tax integrations. Test those workflows before migrating, or compare paid accounting and specialized systems early.
Is free accounting software adequate for a real business?
It can be adequate for a solo service business, contractor, side hustle, or small business that sends invoices and has a manageable number of ordinary expenses. It is especially practical when there are no employees, no complex inventory, no retail POS, and only one or two people involved in bookkeeping.

Those needs do not necessarily require expensive software, but they do require more careful product selection than a free-plan badge suggests.
Bookkeeping versus accounting: what are you actually getting?
- Bookkeeping is recording and categorizing transactions such as invoices, payments, purchases, and expenses.
- Accounting uses those structured records to produce and interpret financial statements and other reports.
- Double-entry accounting records every transaction with balancing debit and credit entries. It helps produce coherent financial statements and catch errors.
- Reconciliation compares the software’s records with a bank or card statement and investigates differences.
A polished invoice screen does not automatically mean that an application provides the same accounting depth as Manager or GnuCash. Before choosing, create a test company or sample file and confirm that it produces the reports you and your accountant need.
Payroll, inventory, taxes, and LLCs
Payroll
Do not treat free bookkeeping software as a complete payroll-tax solution. Wave offers payroll as a paid add-on. Zoho Books includes contractor and 1099-related features, but that does not make it a full payroll platform. Manager and GnuCash are not substitutes for a U.S. payroll service. Employer obligations vary by federal, state, and local rules, so ask a qualified payroll or tax professional when employees are involved.
Inventory
An invoice item list is not the same as inventory accounting. True inventory workflows may require quantities on hand, cost of goods sold, valuation, purchase orders, stock adjustments, returns, multiple locations, and sales-tax treatment. Free tools are generally strongest for service businesses. A product business should test a complete purchase-to-sale cycle before relying on a free plan.
Taxes and LLCs
You can use free accounting software for an LLC, sole proprietorship, partnership, or corporation, but the software does not determine your legal tax treatment. A profit-and-loss report, 1099 tracking, or sales-tax table is not the same as filing every required federal, state, local, payroll, or sales-tax return. Configure the books with advice appropriate to your entity and tax situation.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Free self-hosted alternative: Akaunting On-Premise
Best for: Technical users who want a web-based, self-hosted application and are comfortable administering a server.
Akaunting deserves an honorable mention, but it should not be casually described as free cloud accounting. Its Standard On-Premise plan is free to download and self-host. The listed limit is one company, one user plus one accountant, and up to 1,000 invoices. Hosted Akaunting Cloud plans are paid, and the cloud tiers determine access to some features such as double-entry, bank feeds, expense claims, roles, and permissions.
The free software does not eliminate operating costs. You still need web hosting, a database, PHP, a web server, URL rewriting, required PHP extensions, maintenance, backups, security updates, and troubleshooting. Akaunting’s requirements and installation guide list the technical prerequisites.
Akaunting installation outline
- Confirm PHP 8.1 or newer, a supported database, a web server, URL rewriting, and the required extensions.
- Download and unpack Akaunting.
- Create a database and database user.
- Upload the files to the server and configure the environment if needed.
- Open the installation URL, select the language, and enter database details.
- Create the administrator account.
- Install updates and create an independent backup routine.
For someone who wants a ready-to-use cloud account, Akaunting is the wrong recommendation. For someone who already manages a server and values control over hosting and data location, it can be a useful option.

- LARGE EIGHT-DIGIT DISPLAY – Clear and easy-to-read 8-digit display, perfect for everyday calculations and ensuring accurate results in home or office settings.
- TAX & CURRENCY EXCHANGE FUNCTIONS – Effortlessly handle tax calculations and convert home currency to other currencies for easy financial management.
- GENERAL PURPOSE CALCULATOR – Ideal for a wide range of applications, from basic math to business and personal use, with memory keys for quick storage and recall.
- USER-FRIENDLY KEYBOARD – Easy-to-use layout, featuring square root, percent calculation, and simple functions that make it perfect for everyday tasks.
- COMPACT & PORTABLE DESIGN – Space-saving design that fits easily on any desk or in a briefcase, making it ideal for both home and office use.
Setup checklist for any free accounting app
- Decide on cash or accrual treatment. If you are unsure, ask an accountant before creating a year of transactions.
- Use an appropriate business bank account. Keeping business and personal spending separate makes every free accounting tool more useful.
- Review the chart of accounts. Avoid creating dozens of nearly identical categories before you understand the reporting needs.
- Set the fiscal year and tax settings. Country and entity settings affect available features and reports.
- Enter opening balances carefully. Incorrect opening balances can make every later report misleading.
- Connect a bank only after reviewing the workflow. Check supported institutions, permissions, and whether the connection is automatic or a one-time import.
- Import or enter transactions. Separate income, expenses, transfers, owner contributions, and owner distributions.
- Reconcile bank and credit-card accounts monthly. Do not wait until tax season to discover duplicates or missing transactions.
- Run a profit-and-loss and balance-sheet report. Review unusual balances and uncategorized transactions.
- Export or back up before filing taxes. Keep supporting statements and receipts according to your record-retention needs.
- Test accountant access. Do this before a deadline, not when the books are already time-sensitive.
What happens when the free plan is no longer enough?
Check the exit path before committing your history to any service. Ask whether you can export transactions, customers, vendors, invoices, products, receipts, and reports; whether the same company file continues after an upgrade; and whether the data can move to QuickBooks, Xero, or another system.
Wave documents exports for accounting data, customers, vendors, invoices, products, receipts, payroll information, and other records in its account-data export guide. Manager says its data can be backed up and moved between operating systems and that users can move between desktop and cloud editions. Local applications require a different discipline: make scheduled backups, keep one copy outside the computer, test restoration, and never overwrite the only copy during an upgrade.
Also monitor limits before you hit them. Zoho Books’ revenue eligibility and annual invoice and expense limits, Akaunting’s invoice limit, and ZipBooks’ one-bank limit can affect the decision to upgrade or migrate.
How the products were evaluated
The ranking gives the most weight to the things that determine whether a free plan is genuinely usable:
| Criterion | Suggested weight | What it measures |
|---|---|---|
| Core accounting depth | 25% | Double-entry accounting, chart of accounts, journals, financial statements, and reconciliation |
| Free-plan usefulness | 20% | Whether essential features are actually free rather than trial-only or locked behind an add-on |
| Invoicing and receivables | 15% | Invoice volume, recurring invoices, payment tracking, reminders, and customer tools |
| Banking workflow | 15% | Automatic feeds, number of accounts, CSV or statement imports, and reconciliation |
| Ease of use | 10% | Setup burden, terminology, navigation, and learning curve |
| Data ownership and export | 5% | Backups, export formats, and portability |
| Collaboration and support | 5% | Accountant access, user roles, documentation, and support channels |
| Upgrade path | 5% | Paid pricing and whether the same data continues into the paid plan |
This approach prevents a product from ranking highly merely because it advertises a large number of features that are unavailable on its free tier.
Support expectations
Free plans generally reduce more than the monthly bill. Zoho Books lists email support for free-plan users. Wave’s support availability depends on the plan and optional services. Manager provides guides and community or email-based help rather than the complete support model of a paid cloud product. GnuCash relies primarily on documentation and community resources. Akaunting’s free on-premise plan emphasizes community support, while paid plans add ticket support. Review the current support terms before choosing software for business-critical books.
Official documentation is available through Zoho Books pricing, Wave pricing, Manager guides, GnuCash, and Akaunting’s plan comparison.

Is free accounting software really free?
It can be, but verify which type you are getting. Zoho Books, Wave, and ZipBooks have permanent $0 cloud plans with limits or paid add-ons. Manager Desktop and GnuCash are free local applications, but you supply the computer, backups, and administration. Akaunting’s free option is primarily self-hosted, so hosting and maintenance may cost money. A free trial is not the same as a free plan.
Which free accounting software has automatic bank feeds?
ZipBooks Starter includes one connected bank account. Wave Starter does not include automatic bank imports; Wave places that automation in Pro. Zoho Books Free includes reconciliation but not automatic bank feeds, which require a paid plan under the current U.S. comparison. Manager and GnuCash should be evaluated for statement imports and reconciliation rather than assumed to provide a conventional cloud bank feed.
What is the best free accounting software for freelancers?
Wave is a good starting point for simple invoicing and bookkeeping records. Zoho Books is better when you want recurring invoices, formal financial reports, and free accountant access. ZipBooks is attractive if one automatic bank connection is more important than advanced reporting or multiple accounts.
Can free accounting software replace QuickBooks?
It can replace a paid platform for some solo service businesses, contractors, and side hustles, but not every workflow. Employees, POS sales, complex inventory, multiple entities, advanced sales-tax automation, extensive user permissions, and several bank feeds may require a paid or specialized system. Compare the exact workflows rather than assuming the products are equivalent.

Usually not as a complete U.S. payroll solution. Wave offers payroll as a paid add-on, while Zoho Books’ contractor and 1099 features do not constitute full payroll processing and tax filing. Manager and GnuCash are not substitutes for a payroll service. Payroll involves withholding, employment records, and federal, state, and local filings.
Can I use free accounting software for an LLC?
Yes. An LLC can use any of these products to record transactions and produce reports, but the software does not determine the LLC’s tax classification or file every required return. Configure the chart of accounts and tax treatment with advice appropriate to the LLC’s structure and jurisdiction.
Which free accounting options work offline?
Manager Desktop and GnuCash are the strongest offline choices in this list. Cloud products such as Zoho Books, Wave, and ZipBooks generally require internet access. Offline software gives you more local control but also makes you responsible for backups, computer access, and sharing files with an accountant.
Can a free accounting product handle a nonprofit?
Possibly, if the nonprofit has straightforward income and expenses and the product can produce the fund, restriction, and reporting structure it needs. Confirm support for restricted funds, grants, donor records, separate programs, and required reports before adopting a general small-business free plan. A nonprofit’s reporting requirements may exceed those of a typical freelancer.
What happens if I exceed Zoho Books Free’s limits?
The U.S. free plan is intended for businesses with annual revenue of $50,000 or less and allows up to 1,000 invoices and 1,000 bills or expenses per year. If your business exceeds those conditions, review the paid plan or export and migrate before the limit disrupts invoicing or bookkeeping. Check the current Zoho terms because limits can change.
Do I need an accountant to use free accounting software?
Not necessarily, but an accountant can help with the chart of accounts, opening balances, owner contributions and distributions, accrual adjustments, payroll, sales tax, and tax treatment. Zoho Books Free explicitly permits one accountant alongside one user. Local products such as Manager Desktop and GnuCash typically require file sharing or export rather than a hosted accountant login.
The Bottom Line
Choose Zoho Books Free for the broadest free cloud accounting workflow, Wave Starter for uncomplicated invoicing, ZipBooks Starter for one automatic bank connection, Manager Desktop for full offline accounting, and GnuCash for open-source local double-entry bookkeeping. Before signing up, check the limits that matter most: bank feeds, invoice volume, users, payroll, inventory, accountant access, and data export. The right free tool is the one whose trade-offs fit your business—not simply the one with the longest feature list.
